Call to Order: The regular ASWA monthly meeting of the Flagstaff Chapter was called to order at 11:41 am at the High Country Conference Center by Kelly Robertson. Kelly’s last meeting as president.
Business: The following business/housekeeping items were discussed:
1. Kelly welcomed guests and visitors.
2. Kelly noted that Cheryl Heitz is the NAU Foundation’s Director of Finance/Administration and is one of the Highest-ranking women in the states Non-Profits.
3. Kelly thanked everyone for donating to her Breast Cancer Walk.
4. Kelly called all officers from the prior year to the front of the room and thanked them. Kelly then called all officers for the upcoming year to the front and introduced them.
5. Kelly asked if everyone has had a chance to review the April minutes posted on the Website. Cheryl Heitz motioned to approve minutes, Tammy Laird seconded. Minutes approved.
6. Kelly introduced the June speakers, Dave Miller and Steve Rees.

Call to Order: The ASWA annual membership meeting of the Flagstaff Chapter was called to order at 11:38 am at the 1899 Bar and Grill by Kelly Robertson.
Business: The following business/housekeeping items were discussed:
1. Kelly welcomed guests and visitors, and went around the room for introductions.
2. Kelly asked if everyone has had a chance to review the April minutes posted on the Website. Angie Ledbetter motioned to approve minutes, Tammy Laird seconded. Minutes approved.
3. The nomination committee met on May 6, 2011; Wendy Swartz – President, Sherra Lyon – President Elect, Jessica Fitchett – Vice President, Addie Devine – Treasurer, Diana Sickels – Secretary, Tammy Laird – CPE Chair, Karen Lueppe – Membership Chair, Erin Chadwick – Newsletter, Kelly Robertson – Past President, Roberta Motter & Judy Leary – Board Members.
Cheryl Willers motioned to accept roster as listed. Kay Pitt seconded. Motion Approved. The installation will be held at the June 2011 meeting.
4. Tammy Laird gave an Overview of ASWA for the guests. Addie Devine spoke from a New Member perspective.
5. Kelly congratulated Angela Uyeno on her promotion to a faculty position in Georgia. No ASWA there, maybe she can start one.
6. Kelly will be scheduling a special lunch to celebrate Kay Pitt’s retirement on the 6th or 7th of June. She will be sending out an email for anyone who would like to attend.
7. Kelly introduced the May speaker, David Glennon with the Auditor General office.

Call to Order: The regular ASWA monthly meeting of the Flagstaff Chapter was called to order at 11:50 am at the Drury Inn by Kelly Robertson.
Business: The following business/housekeeping items were discussed:
1. Kelly asked if everyone has had a chance to review the minutes posted on the Website. We need to approve minutes for regular meetings on November 16, 2010, January 25, 2011 and February 22, 2011; as well as the membership meeting minutes on February 25, 2011. Tammy Laird motioned to approve minutes, Wend Swartz seconded. Minutes approved.
2. Kelly announced that Wendy Swartz and Kathe Shinham have joined her on the nomination committee. They will be meeting on May 6, 2011 to discuss nominations for open positions for the upcoming year.
3. Kelly noted that the May speaker is David Glennon with the Auditor General office. He is unable to come to speak on May 24th. Kelly proposed that we change the meeting to May 17th, when David would be available. All agreed and meeting will be rescheduled to May 17, 2011. Kelly asked if anyone had anything specific that they wanted to know about the Auditor General’s office to let her know.
4. Kelly received a regional director memo, as of March 2011 ASWA had 639 new members. 1000 new members by June 30, 2011 was the goal. Almost there! ASWA wants each chapter to recruit 4 new members.
5. Billings, Montana and Las Cruces, New Mexico are having Regional Conferences in May. Billings’ conference is May 12th & 13th. Las Cruces’ conference is May 19th and 20th. Our chapter is to host the regional conference in 2014.
6. Mark Frank with Edward Jones is having a continuing education on Wednesday, June 1st at noon at the High Country Conference Center. Angie Ledbetter has more information.
7. Kay Pitt is retiring officially. We should do something, possibly send flowers.
8. Judy Leary’s husband passed away. A card was passed around for everyone to sign.
9. Wendy Swartz let everyone know that the contract has been signed to continue the monthly meetings with the Conference Center for next year.
The planning meeting in July will be held somewhere other than the conference center. August is bowling. So we will start the year over at the conference center in September. They lowered the mandatory number down to 14. The price has remained the same at $15.95 plus tax & service.
10. The chapter books are still in a positive/black position for this year.
11. Julie Snow with CPA Excel was a guest of Cheryl Willers today. CPA Excel is a CPA Review Course that has partnered with ASWA.
12. Kelly introduced the speaker, Carol McBride.

1. Kelly informed the Chapter that the Board met and the membership meeting will be held at the May Meeting. We need to form the Nominating Committee soon. Kelly and Wendy Swartz will be on the Nominating Committee. The committee needs one more person who is not on the Board. Kelly passed out job descriptions. We need new people to start at July 1, 2011.
2. Cheryl Willers had an announcement. The National Board & VP for Communications is looking towards advertising in more National magazines. Cheryl worked with an NAU student who designed the National Ad. Angie Ledbetter is the new face of the National ASWA. The ad was passed around.
3. Kelly introduced the speaker, Eric Yordy.

Call to Order: The special ASWA membership meeting of the Flagstaff Chapter was called to order at 11:40 am at Ni Marco’s Pizza by Kelly Robertson.
Business: The following membership business items were discussed:
- Discussed best month for membership meeting. It was decided that May was the best month. Jessica motioned to have the membership meeting in May, Kelly seconded. Motion passed.
- Mailing the invitations does not seem to work. Email or word of mouth seems to work better. Sherra will update the invitation for attachment, which should be sent in April.
- Dave Glennon with the Auditor Generals Office will be the speaker.
- We will give a gift card to the person who brings the most people. We could do a raffle if a lot of people bring someone.
- Addie & Angie will do member gifts for whoever brings someone.
- Kelly will do the gifts for the guests.
- Wendy will do the Speaker gift. We will need gift bags.
- Emily brought a current financial statement to know how much money we have. Total cash on hand at 01/31/11 was $5,713.85, with no A/R and net income of $733.
- We do want to make sure that there is a table out front for reception.
- Jessica is membership person. She will have information folders for new people. She will have 15 or 16 available, similar to last year.
- We usually have a new member speak – maybe Karen Durazo?
- Also like to have a longtime member talk about benefits – maybe Cheryl or Tammy?
- At the April meeting, we will be discussing new positions. We will need a new Treasurer, any other positions? We will update the details of the positions, so they can be available at the March meeting. Kelly will email what she has to those now in those positions.
- Kelly will summarize and send out to do lists.

1. Kelly discussed how the Chapter had previously talked about raising the chapter dues from $20 to $30. The form is due Monday, February 28, 2011 so need to decide. Wendy Swartz made motion to raise the Chapter dues from $20 to $30. Judith Leary seconded. Motion Approved.
2. Billings, Montana and Las Cruces, New Mexico are having Regional Conferences in May. Billings’ conference is May 12th & 13th. Las Cruces’ conference is May 19th and 20th. Is anyone planning on going?
3. We did not renew our membership to the Flagstaff Chamber of Commerce.
4. The Chapter finances are in the black. With the Bowling Meeting and the January Meeting we are up $400.

3. Cheryl Willers stated that she has been remise in her National Board duties and needs to better inform the Chapter of what is going on at the National Level.
a. Cheryl asked for everyone who receives an email of the monthly National Newsletter to raise their hand. Cheryl asked if anyone is receiving the National Weekly publication on Tuesdays. Not many are receiving the weekly publication. Cheryl will look into getting these to everyone.
b. Cheryl discussed Social Media at the National level. ASWA has a face book page that anyone can friend. ASWA has a LinkedIn page that is for members only, where you can connect with other ASWA members. ASWA also has a Twitter account that you can follow.
4. Wendy Swartz introduced the speaker, Robert Norton from NAU.

1. We have two new members, neither is here today. That brings us up to 31 members.
2. The Society is partnering up with Kaplan CPA review.
3. November 19th is the Beta Alpha Psi Annual Banquet & Casino Night. We are invited and it would be nice for ASWA to support them.
4. Thursday, October 28th will be lunch with Kate Mulder the ASWA National Vice President. Lunch will be at Taverna Greek Grill at 11:30. Kelly has only received a few RSVP’s. It would be nice if more people could attend.
5. Kelly asked the group if they liked her forwarding the emails from George Lopez with the IRS. All in attendance said yes that she should continue to do that.
6. Kelly discussed the National Conference. She really enjoyed the conference, met a lot of new people and got 18 hours of CPE. They had really good Keynote Speakers, who discussed social media. One speaker was in her 20’s the other speaker was in her 70’s .
7. If anyone is interest in hiring students let Kathe Shinham know.
8. Tammy Laird moved to approve minutes as posted on the Website, Judy Marfechuk seconded.
9. Kelly complimented the Website
10. Roberta Motter has a new grandchild, she passed around pictures.

ASWA Foundation Scholarships are coming up. There are a couple of different kinds available. If you know of anyone, please let Kelly know.
The Joint National Conference in Nashville, Tennessee is next week, Sept 28, 2010. Kelly Robertson & Chery Willers are scheduled to attend.
The National Conference for next year is: ASWA 1000 Race to Charlotte: Recruit…Retain…and Win! The conference will be held in Charlotte, NC on October 24th – 26th, 2011. We need to recruit 5 new people.
Kelly wants everyone to know that the Newsletter now comes via email. Let Kelly know if you need to get it.
The Garage Sale raised $445 + 10 = $455.
The survey to decide if we wanted to use PayPal to be able to pay for the weekly meetings was: 5 yeses and 13 nos. Emily does not want to do it. So won’t activate the PayPal account for monthly meetings. But will keep available so can be used for our next conference.
In July the Chapter had a $151 loss on lunch, in August we had $170 extra and the Garage Sale brought in $455. So hopefully, we can absorb lunches for a time. May need to charge for December’s lunch too. Maybe have a potluck instead. Let Kelly know if for or against this idea.
Fun Activity Ideas: Cheryl thought a Cooking Class for ASWA would be a fun outing, $40 per person. Tammy suggested a Friday lunch to go up the sky ride in October and see the leaves change. Probably would take 2 hours. Anyone interested? Will be sending emails.
The speaker, Terri Malone with the Internal Revenue Service, was introduced.

Discussion of email Angie Ledbetter sent to Kelly regarding the Garage Sale on September 11, 2010. Kelly explained that the group had chosen to hold a Garage Sale instead of raising prices. Kelly reminded everyone that they were still looking for volunteers to help.
Angie Ledbetter went over email list she received from Sherra Lyon. Gave list to Cheryl and Angela to see if they had any corrections or additions.

Call to Order: The ASWA special board meeting of the Flagstaff Chapter was called to order at 12:05 pm at the Residence Life Building by Kelly Robertson.
Business: The following business/housekeeping items were discussed:
- Kelly passed out the Meeting versus Non-Meeting Excel Models and went over the Chapter’s financial statement that had been previously emailed and asked if there were any questions. The Chapter is losing money on each meeting.
- The Chapter’s contract with the Drury Inn states that we pay for a minimum of 18 people for lunch. The Contract is for July 1 to June 30, 2011.
- Wendy went over Model handout – The Chapter can increase lunch prices or do fundraising?
- Discussed – First time guests get their meal free, but after that they should pay. Need to get this to Angie to put on the Website.
- Discussed changing the way we sign in at our lunch meetings with Guests on back or separate for better tracking.
- Discussed scholarships & member enrichment – Per Cheryl the Chapter has always participated in the scholarship even if we had no money. Member Enrichment has only been an expense since the conference and had some funds to help members. Could possibly link the scholarships to fundraising.
- Cheryl thought speaker gifts should promote ASWA. Kelly will check on ASWA logo gifts from our local provider.
- Discussed Name Badge expense – will keep as a cost, however, if a member looses their badge they should pay individually to replace.
- If lunch prices are left at $20 – No Fundraising & reduce Member enrichment the Chapter would be ok, about break even.
- People did not like the idea of increasing lunch meeting costs at all. Will revisit in a year.
- If the Chapter raised its dues – when would it be effective? When would we need to notify people? Do we want to propose raising the annual fee to $30? May need to present at regular meeting for a vote. Need to check the By-laws.
- Could consider charging people regular lunch meeting price for the August bowling meeting.
- Discussed RSVP policy – if you RSVP but do not cancel or show up you are still responsible to pay. We need to enforce this rule. Will add to sign-in sheet a column showing who RSVP’d.
- Discussed the possibility of allowing people to pay for their lunches online when they RSVP. Will ask Angie to look into this as an option.
- Discussed Fundraising: Angie suggested a Garage Sale in August or September. Or a local Ethics class for a one day or ½ day seminar. Maybe have another conference, maybe in 2014, would need to get our conference on the National ASWA schedule.
- Discussed Joint meetings – Do the guests pay member or non-member prices? Also, it is 2 hours of CPE – so could raise prices for all. Decided that the Joint meeting will be changed to $30 for all.
- Wendy will finalize Budget based on discussions.

3. Kelly Roberston reminded everyone of the Mesa Chapter’s July 23 seminar. Hope some are able to support the Mesa Chapter.

Call to Order: The planning meeting for the ASWA Flagstaff Chapter was called to order at Nimarco’s Pizza by Kelly Robertson.
Business: The following business items were discussed:
1. The Chamber of Commerce $215 invoice for the upcoming year was discussed. Should the Chapter renew? It was stated that members did not feel the Chapter was benefitted much in the last year from the association with the Chamber. Wendy Swartz motioned not to renew membership with the Chamber. Tammy Laird seconded. Motion passed.
2. Discussion of the Contract at the High Country Conference Center. The contract minimum number of lunches in increased to 20. (Can negotiate to 18 people.) July to November is at 20 people. In December it goes up. Have about 25 – 28 members with about 15 – 20 attending meetings. No motions made.
3. Speakers and topics for the upcoming year were discussed. The tentative speaker list was typed up by Kelly Robertson and is attached.
4. April 2011 is going to be the membership meeting – Passed. June 2011 is officer installation.
5. Discussed: Does the Chapter want to increase dues for our annual dues amount. Currently it is $20, which is direct deposited in the Chapter bank account from the National ASWA when members pay their annual dues. It was decided against increasing the dues at this time.
6. Discussed the need for a fundraiser in the future. Kelly like the idea of a desert auction. Angie liked the idea of a Garage Sale. No decisions made.

Call to Order: The regular ASWA monthly meeting of the Flagstaff Chapter was called to order at 11:49 am at the High Country Conference Center by Kelly Robertson.
Business: The following business/housekeeping items were discussed:
Roberta Motter is not here today and will not be here in June, so Kelly is acting President.
Officer installation is in June, but Cheryl Willers will not be here. May change meeting form the 22nd to 29th if ok with speaker.
National Conference is in Nashville this year if anyone is interested in going. It will be the end of September, the 27th & 28th. If anyone would like to go, please send Kelley an email.
Kelly will be sending out an email for speaker input. Have a speaker for July, still need one for September.
The Spring outing to the Weather Station was discussed. Very interesting.
Minutes for the April 27, 2010 meeting were presented. Motion to approve with name spelling corrections made by Kay Pitt, seconded by Wendy Swartz.
